“One of our clients had a title plant still anchored by books and needed to add those to their digital plan. We delivered a secure, efficient, and timely scanning process, while the client didn’t incur any lost order processing time while their books were being scanned.”

Background

First Texas Title (FTT) has two plants with us. One of those counties contained a sizeable “paper” element to the plant. These tract books were stored in a safe and were referred to often since the official county real property records data set wasn’t fully digitized back to sovereignty. FTT needed these scanned and added to their existing digital plant for ease of access and overall protection of the asset.

FTT reached out to us about scanning their books. We worked with a trusted vendor to do this. This vendor is regional and has always done a good job for us. In addition, they were able to place scanned images into a cloud solution for temporary access in the event FTT needed to refer to those books.

IIX facilitated the transport of the books to save the client additional funds. The scanning project took about two weeks, and the books were returned by an IIX employee.

Once the scanning was completed, some minor indexing was done by IIX and then the images were merged into the plant.

Takeaways

The process is relatively simple and secure. In addition, the client is cared for well by providing them with temporary cloud access to their newly scanned books/cards/etc. It’s a great way to keep the title company working smoothly as their assets are converted.

These images were not fully indexed, but instead included in the digital plant as a instrument type that could be searched by volume and page. This approach is a cost-effective option to digitize a paper plant. Full indexing of those images can always be done at a later date as funds are available to do so.
